What to do with a booking request

You've listed your trailer, now what do you do with the booking request

Receive a booking request

When a booking request is made, you will receive an SMS letting you know. You will also find a notification in your app.

  1. Go to Menu  Notification
  2. Select the notification
  3. This will take you to the Booking/Request screen in the app

Alternatively,

  1. Go to Menu ->Trailer Admin
  2. Booking/Request

Confirm a Booking

Once you have received a booking request, have discussed a pickup time with the renter you are ready to confirm the booking.

  1. Go to Menu -> Trailer Admin
  2. Booking/Request
  3. Tap the booking request
  4. Tap Confirm button

Your booking has now been confirmed.

the Rental Agreement

Once you accept the Booking, you will both be emailed an electronic Rental Agreement which has both your details on it. Do not worry, you will not need to print it. Bring it up on your smart phone, tablet or PC and sign it with your finger, or type in your name. This becomes a legally binding contract.
You will be able to review the fully signed agreement from within the User area of the web site.

Contact the hirer

After accepting the booking request, you are required to contact the hirer either by SMS or phone to determine a suitable time for pickup. (Note that SMS and phone charges are payable to your carrier).
When the booking request is received, select the profile of the renter to view their contact details.

  3. Tap renter profile

Pickup

When the renter arrives at the pickup location, you are advised to review the renter driver license against the details on the Rental Agreement and inspect the trailer together. You will then need to confirm the pickup which automatically takes a holding deposit from the renter. The app will advise you if this is declined so that you can advise the renter to check their card details. In this event, do not release the trailer. Otherwise, the trailer is covered by insurance for the term of the Rental Agreement.

  4. Tap Pickup button

Accept an Extension to a Booking

At any time before or during the hire, the renter may wish to extend the booking of your trailer. The renter has been advised to contact you first to ensure you have no issue or no further bookings planned. If you are happy for them to extend, let them know to use the HMT app to extend the booking. This ensures the rental agreement is also amended and insurance on the trailer remains. Renters have been advised that failure to return a trailer on time can result in Police action.
When an extension request is made, you will find the Confirm Extension button next to the existing booking.

  2. Booking/Request
  3. Tap the booking request
  4. Tap Confirm extension button

Decline an Extension to a Booking

At any time before or during the hire, the renter may wish to extend the booking of your trailer. The renter has been advised to contact you first to ensure you have no issue or no further bookings planned. If you wish to not extend the hire, let them know. If the renter uses the HMT app to extend the booking, you can deny the extension. This ensures the current rental agreement is still in place. Renters have been advised that failure to return a trailer on time can result in Police action.
When an extension request is made, you will find the Deny Extension button next to the existing booking.

  2. Booking/Request
  3. Tap the booking request
  4. Tap Deny extension button

Drop Off

Once the renter has finished with the trailer, they are to return it to the pickup location and ensured that it has been returned in the same condition in which it was collected. You are advised to inspect the trailer with the renter to ensure only expected wear and tear exists. You will then confirm the drop off.

  2. Booking/Request
  3. Tap the booking request
  4. Tap Drop Off button

If there is an issue and you would like to Raise a Dispute, do not confirm the drop off and raise a Dispute ticket from the Dashboard on the website.

Rate the Renter

After the rental agreement ends, your app will ask you to rate the renter. You can do this anytime before accepting your next hire.

Cancel a booking

If you need to cancel the booking early, notify the renter and use the app to cancel. Note that Cancellation fees may apply.
